Role Overview
We are looking for a seasoned Groups & Events Coordinator to boost our growing groups and events sector. Reporting directly to the Groups & Events Manager, you will be pivotal in generating revenue through managing group, meeting, and event inquiries reactively, with occasional proactive outreach.
Primary Responsibilities
- Manage groups and events inquiries from initial contact to completion, ensuring prompt response via phone and email and delivering a memorable client experience.
- Handle your own pipeline including proposal development, contract handling, rooming list preparation, and final invoicing.
- Foster strong relationships both internally and with clients, prioritizing exceptional guest experiences.
- Collaborate with operational teams to coordinate all facets of confirmed meetings and events, making certain expectations are clearly communicated and fulfilled.
- Compile and present weekly function sheets during operations meetings confidently.
- Conduct venue tours and planning consultations with clients on-site.
- Develop and maintain long-term client relationships, identify opportunities for repeat business, and analyze trend data yearly.
- Manage key administrative tasks such as deposits, billing, and event system updates accurately.
Candidate Profile
- Experience in hotel group events or reservations with confidence in independently managing bookings.
- Exceptional attention to detail and ability to stay organized under fast-paced conditions.
- Fluency in German and English; additional language skills are advantageous.
- Proficiency with software applications including Outlook, Excel, Word; experiential knowledge of OPERA and/or Delphi is beneficial.
- Strong interpersonal skills to build professional trust with clients and team members.
- Ability to remain calm and solution-oriented while multitasking effectively.
- Collaborative attitude with a willingness to support team efforts without ego.
- Highly motivated, proactive, with a passion for teamwork and hospitality excellence.
