Role overview
This position supports the accounts payable area within finance, helping to keep invoice processing, supplier payments, and vendor communication running smoothly. The role also covers purchase order administration, proforma invoice handling, supplier reconciliations, expense processing, month-end support, ad hoc analysis, and broader assistance to the finance team. There is also scope to help refine systems and improve working processes.
Key responsibilities
- Support the accounts payable process by processing invoices and credit notes quickly, matching them to the correct purchase orders, and chasing any missing invoices or supplier issues.
- Work with business teams on the purchase order system so that invoices are backed by approved purchase orders.
- Oversee proforma invoices, ensuring suppliers are paid on time, tax invoices are received, and transactions are posted correctly in the system.
- Complete monthly supplier statement reconciliations to help maintain accurate and complete financial records.
- Manage company credit card and expense activity in line with internal policy.
- Assist with month-end activities such as bank postings and reconciliations to support timely reporting.
- Help improve systems and procedures related to purchase orders, invoices, and payments so workflows become more efficient and effective.
Skills and requirements
- Very well organised, efficient, and able to work independently with a positive, proactive mindset.
- Genuine interest in improving systems and procedures to make processes more efficient.
- Strong accuracy and close attention to detail, especially when handling large volumes of transactions.
- Good ability to prioritise work, meet deadlines, and manage targets in a busy environment.
- Comfortable working collaboratively and communicating with colleagues across different departments.
- Strong Excel ability and confidence using IT systems, with the ability to pick up new software quickly.
