About the Role

We are inviting a detail-oriented, organized, and adaptable People Operations Executive or Senior Executive to strengthen our People team. You will play a pivotal role in managing HR operations, ensuring accurate data handling, strict compliance, and delivering an outstanding employee experience throughout the entire talent lifecycle.

Key Responsibilities

  • Manage Applicant Tracking System (ATS) and Core HR system data to ensure seamless onboarding by accurate data entry and workflow triggers.
  • Oversee collection and management of mandatory documentation for early childhood educator registration and regulatory compliance, ensuring all gaps are addressed promptly.
  • Coordinate pre-employment medical examinations with vendors, reviewing reports and escalating issues to Talent Acquisition leads and recruiters.
  • Collaborate with recruiters to confirm start dates and produce Letters of Offer and employment contracts using Adobe Sign.
  • Act as the liaison for onboarding coordination, communicating first-day instructions to new hires and relevant internal teams.
  • Enter employee lifecycle data such as promotions, transfers, and terminations accurately and on time into HR Information Systems (HRIS) to maintain data integrity.
  • Create and audit digital Personnel Files (P-Files), upholding confidentiality, data privacy, and audit readiness.
  • Manage the HR Shared Services mailbox as a Center of Excellence, handling complex employee queries within service level agreements.

  • Identify and implement automation opportunities for repetitive HR administrative tasks, working with IT or HR system administrators to deploy solutions such as automated triggers and self-service forms.
  • Develop and maintain comprehensive Standard Operating Procedures (SOPs) for all core People Operations functions to ensure consistency and compliance.
  • Analyze operational data to propose systemic improvements, develop employee FAQs, and promote continual enhancement of processes.

Qualifications and Experience

  • Bachelor's degree in Human Resource Management, Business Administration, or a related field.
  • 3 to 5 years of practical experience in HR operations or shared services environments.
