This Executive Assistant role supports the leader of the Wholesale & Marketplace team, along with additional leaders in Marketing. The position calls for someone who can think ahead, solve problems quickly, and stay effective in a busy, high-energy setting. A key part of the job is making sure executives are fully prepared for meetings, events, and travel, while also assembling materials for reports and presentations and helping run team meetings. The role requires strong calendar management and acting as a gatekeeper so the day runs efficiently. Other department-specific tasks may also be assigned as needed.
Calendar management
- Oversee executive calendars by organizing, balancing, and planning the day-to-day schedule.
- Arrange team meetings, reserve conference rooms, and set up prep sessions when needed.
- Help print documents and pre-reads, and prepare and combine presentation materials for meetings.
- Review emails for priority items and meeting requests as directed.
- Set up touchpoints and staff meetings with direct reports, resolve scheduling conflicts, and stay current on executive priorities each day.
Communication and resource support
- Assist with creating, editing, and formatting high-priority, high-visibility presentations.
- Keep team distribution lists current for meetings and communications.
- Support culture-building initiatives such as recognition programs, events, and related activities.
- Take part in department committees by supporting note-taking, task tracking, and action items.
Travel and expense management
- Make sure executive expenses are submitted on time.
- Book travel and prepare itineraries.
- Coordinate with other executive assistants so group travel is arranged properly and coverage is in place based on the trip’s purpose and attendees.
Additional administrative support
- Provide backup support for peers during PTO or other out-of-office situations.
- Support technology needs such as video conferencing, PowerPoint presentations, and Excel reporting.
- Assist HR with HR access updates and new hire setup needs.
- Handle ad hoc projects as required.
- Help strengthen the overall team and department culture.
Qualifications
The ideal candidate has at least seven years of experience as an Executive Assistant supporting multiple senior leaders in a fast-moving, dynamic environment. Strong written and verbal communication, the ability to juggle competing priorities and deadlines, and a high level of adaptability and resourcefulness are important. The role also requires sound judgment, professionalism, confidentiality, and strong proficiency with Microsoft Office tools such as Word, Excel, Outlook, and PowerPoint.
Education
A bachelor’s degree is preferred, and prior retail experience is also preferred.
