Role Summary
The Executive Assistant to the CEO will offer dedicated and personalized administrative and operational support to the CEO and Founder. This role involves managing complex calendars, orchestrating travel plans, facilitating communication, and supporting both professional and some personal tasks for the CEO.
Key Responsibilities
- Oversee daily schedule management, coordinating meetings with internal departments and external partners, serving as the primary communication link for the CEO.
- Plan and organize team gatherings including executive meetings and company offsite events.
- Arrange detailed and multifaceted travel itineraries domestically and internationally, ensuring smooth logistics for CEO engagements.
- Participate in pertinent meetings to document discussions and action items, distributing these appropriately and tracking follow-ups.
- Anticipate the CEO's requirements, proactively identifying challenges and crafting solutions.
- Prepare briefing materials for the CEO ahead of meetings, summarizing agendas, attendee information, and objectives.
- Exercise discretion handling sensitive documents, data, and confidential discussions.
- Act as a positive representative of the CEO by fostering relationships with AvantStay leadership, the CEO’s personal contacts, investors, board members, and consultants.
- Manage the CEO’s personal appointments and high-priority personal errands as needed.
- Perform additional duties as assigned.
Qualifications and Skills
- Bachelor’s degree required.
- More than five years of experience supporting senior or C-level executives, preferably in a startup environment.
- Exceptional organizational skills with aptitude to handle multiple priorities in a dynamic and fast-paced setting.
- Strong written and oral communication capabilities, including experience drafting professional messages and presentations.
- Flexibility to work beyond standard office hours when required.
- Proven trustworthiness in managing confidential and sensitive information.
- Professional demeanor in engagement with diverse stakeholders including investors, board members, senior leaders, and teammates.
- Self-driven with the ability to complete many tasks independently.
Additional Information
This position may be occupied by candidates based in the US or internationally but requires residence in North or South America. Fluency in English is mandatory. The role demands availability during Pacific and Eastern Standard Time zones to align with the CEO’s schedule. Compensation will reflect the candidate’s location, expertise, and skill set.
