Role Overview
We are seeking an Executive Assistant to provide strategic, administrative, and operational support to the Chief Human Resources Officer (CHRO) and HR Managing Directors. This role is vital in ensuring executive success by managing complex priorities such as calendar coordination, executive communications, meeting management, project support, and maintaining confidentiality in a fast-paced environment.
Key Responsibilities
- Draft letters, memos, invoices, reports, and presentations, and perform general clerical tasks.
- Organize and maintain databases, libraries, and knowledge resources, improving access and efficiency of research materials.
- Plan and execute meetings, handling logistics, preparing agendas, recording notes, tracking action items, and coordinating attendees.
- Leverage business software and AI tools to draft effective correspondence, create presentations, and ensure timely follow-ups.
- Manage expenditure approvals and purchase order preparations aligned with budget and financial policies; oversee incoming and outgoing executive communications and confidential documents.
- Provide data analysis and research support on projects, resource allocation, and special initiatives.
- Collaborate across teams on complex projects requiring detailed investigation and insight.
- Maintain high confidentiality and professional discretion in handling sensitive and proprietary information.
- Support the company’s commitment to protect physical, financial, cybersecurity assets, and manage private customer and proprietary data with integrity.
Required Qualifications
- At least four years of experience performing advanced administrative, secretarial, or clerical duties.
Preferred Qualifications
- Experience supporting multiple senior executives as an Executive Assistant.
- Background supporting Human Resources functions.
- Proven ability to juggle multiple priorities in a dynamic, fast-paced environment.
- Advanced skills in Microsoft 365, including Outlook, Teams, PowerPoint, and Excel.
- Familiarity with AI-enabled productivity tools such as CoPilot.
- Strong written and verbal communication and interpersonal skills.
- Experience handling highly confidential information professionally.
- Proficiency managing SharePoint sites, document libraries, and organizational filing systems.
- Expertise in Excel for project tracking and managing executive priorities.
- Skilled in formatting PowerPoint presentations.
- Experience processing executive expense reports and credit card reconciliations.
- Expertise in coordinating department-wide meetings, events, and logistics.
- Competency managing complex executive calendars involving multiple internal and external stakeholders.
Additional Information
- This is a hybrid role requiring employees to work onsite at an SCE facility for certain days and remotely on others, with work location and schedule adaptable based on business needs. Employees must live and work within California.
