Key Responsibilities
- Manage administrative and executive duties such as organizing calendars, scheduling meetings, coordinating travel, and overseeing daily office operations.
- Prepare agendas, presentations, reports, and meeting minutes, while monitoring and following up on action items to ensure timely completion.
- Liaise effectively with internal teams including senior leadership, faculty, staff, and students, as well as external parties to facilitate smooth communication and event execution.
- Compose professional correspondence, emails, presentations, and official documentation with clarity and precision.
- Maintain confidential records and executive files with accuracy and discretion.
- Assist in planning and executing meetings, conferences, workshops, institutional events, and engagements involving leadership.
- Contribute to social media content creation and coordination to enhance institutional outreach.
- Track assignments, deadlines, and deliverables to ensure timely follow-up and coordination among stakeholders.
Interactions and Collaboration
Internally, the role involves coordinating with senior leadership, faculty, and staff, while externally engaging with industry partners, visitors, guests, and other stakeholders.
Qualifications and Skills
- Possession of a bachelor's degree in any field; postgraduate qualifications are advantageous.
- Between 2 to 5 years of relevant experience in executive assistance, administration, coordination, or related positions.
- Effective verbal and written communication abilities.
- Strong interpersonal skills for collaboration and relationship management.
- Familiarity with social media platforms and content coordination practices.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent planning, multitasking, time management, problem-solving, and coordination skills.
