Role Overview
Sage is seeking an Executive Assistant to deliver high-level administrative support to two Vice Presidents in our North America sales division. This dynamic role requires expert organizational skills to manage complex calendars, shifting priorities, and cross-time zone coordination in a fast-paced, global software environment.
Primary Responsibilities
- Administer intricate scheduling and calendar management for two senior sales executives, prioritizing meetings and resolving conflicts to safeguard important time blocks.
- Organize internal and external meetings, including preparing agendas, collecting materials, coordinating logistics, tracking follow-ups, and managing action items.
- Plan and oversee multi-destination travel arrangements, handle itineraries, manage expense reporting, and address last-minute modifications.
- Compose and manage executive communications that are clear, timely, and tailored for distinct audiences.
- Maintain oversight of action items, track follow-ups, and handle key administrative tasks to facilitate leader readiness and organization.
- Provide logistical support for leadership meetings, offsites, team events, customer engagements, and executive functions.
- Accurately process expenses, purchase orders, documentation, and maintain trackers ensuring precision.
- Act as a trusted liaison among stakeholders, facilitating effective communication and request routing.
- Leverage technology and AI tools such as Microsoft Copilot to automate routine tasks and enhance administrative efficiency.
- Continuously seek improvements in executive support workflows, communication channels, and overall team coordination.
Candidate Requirements
- Minimum of 5 years' experience serving as an Executive Assistant to at least two senior executives simultaneously, preferably VPs or SVPs within sales at a global technology company.
- Proven expertise in advanced calendar management, prioritization, and scheduling sound judgment.
- Exceptional organization, time management skills, meticulous attention to detail, and the ability to follow through amid competing demands.
- Strong verbal and written communication skills, with a professional demeanor when interacting with senior leadership and cross-functional teams.
- Experience coordinating meetings, travel, expense reports, executive presentations, and corporate events including offsites and customer interactions.
- Proficiency in Microsoft Outlook, Teams, PowerPoint, Excel, travel and expense systems, meeting management software, and AI tools like Microsoft Copilot or equivalents.
- Willingness to occasionally vary working hours to accommodate meetings, travel, and business needs across U.S. time zones.
- Ability to quickly establish rapport, anticipate executive requirements, solve problems efficiently, and maintain composure in high-pressure situations.
- High discretion, professionalism, adaptability, and sound judgment handling sensitive issues and evolving priorities.
- Capacity to travel approximately once per quarter to support offsite events.
Work Environment Details
The role requires onsite presence at the Atlanta office three days per week, fostering collaboration in person at Ponce City Market.
