Position Overview
We are seeking a permanent Administrator for the Customer Operations department based in Stamullen, County Meath. This hybrid role involves delivering comprehensive administrative support focused on enhancing the efficiency of Customer Operations activities.
Key Responsibilities
- Ensure adherence to safe work practices at all times and promptly report any near misses to the Environmental Health and Safety (EHS) Department.
- Manage new account setups and new address requests using the JDE system.
- Set up item codes for bulk materials, finished goods, and customer-supplied components.
- Initiate and update Bills of Materials (BOMs) as required.
- Coordinate the booking of deliveries, including order confirmation creation, and oversee collection management.
- Generate packing lists and manual dispatch notes upon necessity.
- Raise non-production sales orders (such as tooling, couriers, QA documentation), ensure submission to finance for billing, generate order acknowledgments, and liaise with Project Managers to obtain purchase orders from customers.
- Support waste destruction processes involving obsolete bulk materials, packaging materials, and in-process waste.
- Create order acknowledgments for production batches and forward them to relevant Project Managers for customer communication.
- Perform additional tasks aligned with company objectives as needed.
Qualifications and Experience
- 1-2 years of administrative experience.
- Strong ability to follow clear objectives, communicate effectively, and meet predefined goals.
- Competent in managing multiple tasks with effective prioritization.
- Problem-solving and troubleshooting aptitude, demonstrating a proactive and dynamic approach to challenges.
- Self-driven with a focus on achieving results.
- Flexibility to work different shifts as required to meet business demands.
- Collaborative mindset and adaptability in the workplace.
- Proficiency with Microsoft Office suite including Excel, PowerPoint, and Word.
Preferred Attributes
- Experience interfacing directly with clients.
- Background working in GMP or regulated environments.
- Knowledge of Lean Manufacturing principles and experience utilizing Lean tools to foster continuous improvements.

- Commitment to following Standard Operating Procedures (SOPs), Health and Safety policies, GMP, and other regulatory guidelines personally and ensuring team compliance.
