About the Role

The Administrative Assistant II in Enterprise Data, Analytics & AI is crucial in providing high-level administrative and operational support to senior leadership and their teams within data-focused divisions. This role involves efficiently handling complex calendars, organizing meetings and travel logistics, managing sensitive information, and supporting both team operations and cultural activities. The ideal candidate should demonstrate autonomy, sound decision-making, and the ability to devise innovative solutions that enhance process efficiency. Strong organizational skills, meticulous attention to detail, and capacity to manage multiple priorities in a dynamic environment are essential. Additionally, this individual acts as a trusted collaborator, promoting communication and cooperation across teams while driving ongoing process improvements to boost productivity.

Key Responsibilities

  • Offer proactive administrative assistance to Vice Presidents and senior executives, including calendar oversight, managing inboxes, and handling correspondence.
  • Anticipate leadership requirements by monitoring priorities, preparing materials for meetings, and ensuring timely completion of action items.
  • Organize logistics for leadership gatherings, town halls, and team events, encompassing agenda setup, technology coordination, and follow-up communications.
  • Arrange domestic and international travel plans, assessing options for cost efficiency and convenience.
  • Manage expense reports, invoices, and procurement requests, following up with necessary research to resolve discrepancies.
  • Assist with operational functions such as budget monitoring, asset oversight, and administrative reporting.
  • Identify process inefficiencies within the department and create new tools, trackers, or workflows to enhance operational effectiveness.
  • Lead or support administrative projects, including onboarding documentation, SharePoint management, and workflow recording.
  • Develop and maintain spreadsheets, trackers, and databases to improve data visibility, accuracy, and team productivity.
  • Support onboarding activities for new hires and leaders by preparing checklists and directing them to relevant resources.
  • Act as a resource for organizational policies and procedures, facilitating connections between stakeholders and appropriate points of contact.
  • Engage in company initiatives related to employee engagement, culture, and team growth.

Qualifications and Skills

  • Possession of a high school diploma or GED with 3 to 4 years of progressive administrative experience, or a 2-year degree in Business Administration or related field with over 2 years of relevant experience.
  • Demonstrated experience supporting senior executives, managing complex scheduling, travel arrangements, and operational tasks.
  • Ability to provide proactive, high-judgment administrative support within fast-changing environments.
  • Exceptional organizational and multitasking skills to effectively manage competing priorities.
  • Strong verbal and written communication skills with a polished and proactive approach.
  • Discretion and professionalism when handling confidential and sensitive matters.
  • Advanced knowledge and proficiency in Microsoft Outlook, Word, PowerPoint, and Excel; aptitude for learning new software and tools quickly.
  • Excellent interpersonal abilities to foster effective collaboration and build positive work relationships.
  • Results-driven with a focus on operational efficiency and continuous improvement.
  • Initiative taker who adapts well to shifting priorities and devises innovative solutions.
