About the Role

Key Responsibilities
- Maintain and disseminate up-to-date organizational documentation, ensuring timely distribution of all revisions to relevant parties.
- Support staff with documentation management for daily operations such as meeting minutes, reports, manuals, brochures, records, forms, checklists, and instructions.
- Assist in the preparation and generation of performance and progress reports for various projects, creating accurate graphs and statistics.
- Utilize database management systems like SAP and other software to create an electronic log and preserve the history of all related documents and recommendations.
- Gather data and maintain regular employee activity reports, including maintaining and recording performance appraisal reports regarding overall personnel performance.
- Track attendance, leave, absenteeism, and vacations of staff; prepare daily timesheets accordingly.
- Compile and analyze data from personnel and provide regular summaries to the Organization Head.
- Handle correspondence inquiries, route incoming mail, prepare outgoing mail, and maintain files and records as directed.
- Collaborate with the Training and Career Development Division to identify training needs, coordinate course enrollments, and follow up on attendance.
- Coordinate with Material and Services Procurement to requisition office supplies and stationery.
- Operate and oversee a variety of office equipment (printers, fax machines, copiers, telephones) and ensure their proper functioning in cooperation with relevant staff.
- Perform additional duties as assigned by the Organization Head.
- Ensure adherence to safe work practices, hazardous work regulations, and proper use of PPE according to SATORP standards.
- Promote reporting of near misses, unsafe conditions, and unsafe acts.
- Participate actively in safety audits.
Qualifications
- Minimum of 5 years’ experience in Oil & Gas maintenance with a High School diploma, or
- At least 3 years’ Oil & Gas maintenance experience holding a Diploma.
Additional Information
This role operates fully onsite in Jubail, Eastern Province, Saudi Arabia, with a strong focus on supporting organizational operations in Oil & Gas maintenance environment. Candidates will be expected to work closely with various departments to maintain smooth administrative functions aligned with safety standards.
