Warehouse Executive

Overview

As a Godown Incharge at Essex Engineers Private Limited located in Coimbatore, Tamil Nadu, you will oversee end-to-end daily operations within the godown. Your duties include receiving stock from varied brands, keeping accurate inventory records, ensuring safe storage, and arranging punctual dispatch to customers and dealers across Coimbatore and other locations.

The role mandates ensuring the correct products reach the proper customer or dealer at the right time, in excellent condition, accompanied by all necessary documentation.

Key Duties and Responsibilities

• Manage receipt and inward inspection of materials from suppliers and brands, validating quantities, product models, and condition against invoices or delivery challans.
• Report discrepancies such as shortages or damages immediately and guarantee proper placement in designated storage areas.
• Keep precise physical inventory records across all brands, products, spare parts, and accessories.
• Organize products systematically with clear labeling to facilitate easy access, maintain cleanliness and safety standards in the godown.
• Monitor stock movement trends including fast-moving, slow-moving, and low inventory items, and perform regular physical stock audits to reconcile discrepancies.
• Coordinate dispatch operations for customers, dealers, and project sites by verifying product details, ensuring proper packaging, and preparing all relevant transport and delivery documentation.
• Handle logistics for local deliveries in Coimbatore by arranging appropriate vehicles such as tempos or autos, ensuring timely delivery and obtaining proof of delivery.
• Oversee outstation shipments by selecting suitable transporters from approved lists, recording consignment details, sharing tracking information with sales/service teams, and following up on potential delays.
• Control transportation expenses by selecting cost-effective yet reliable options and consolidating shipments where possible to optimize resources.
• Work in close coordination with internal departments including Sales, Service, Accounts, and Purchase teams to fulfill daily dispatch requirements and manage stock concerns.
• Process returned, damaged, or warranty products by recording, segregating, and communicating their status to relevant teams, ensuring replacements or warranty actions are documented and dispatched promptly.
• Maintain comprehensive documentation and reporting for all inbound and outbound stock, and submit regular reports to management.

Performance Metrics

• Maintain 100% stock accuracy with physical counts matching records.
• Ensure dispatches meet committed timelines to customers and dealers.
• Minimize product damage during transit through proper packing and handling.
• Control logistics costs through efficient transport choices.
• Uphold complete and organized documentation and record keeping.
• Keep the godown orderly and stock easily retrievable.
• Proactively monitor and address delays in delivery especially for outstation consignments.
• Facilitate seamless communication with internal teams.

Qualifications and Requirements

• Minimum educational qualification: completion of 12th standard; additional preference for Diploma or ITI holders.
• 2 to 5 years of proven experience in warehouse, godown, stores, or dispatch-related roles.
• Familiarity with inventory management and stock verification processes.
• Possess a valid driving license.
• Personal attributes include honesty, responsibility, discipline, organizational ability, and accountability for overall godown operations.
