Role Overview
The Travel Coordinator is tasked with overseeing and arranging travel logistics for company staff and executives, including flights, lodging, transportation, and additional related services. This position demands adherence to corporate travel policies and budgetary constraints while working closely with the Assistant Manager of the Travel Desk to streamline travel operations and identify efficient, economical travel solutions.
Key Responsibilities
- Plan and book all travel necessities such as flights, hotels, vehicle rentals, and local transportation for employees and executives.
- Ensure that all travel arrangements comply with company travel policies and budget approvals.
- Manage and confirm travel itineraries, and supply travelers with essential travel documents and confirmations.
- Source competitive rates by negotiating with service providers and leveraging offers, discounts, and deals to ensure cost efficiency.
- Engage and maintain relationships with travel service vendors including agencies, airlines, and hotels.
- Verify vendor compliance with company standards and maintain a record of preferred suppliers and service level agreements.
- Track travel spending to guarantee expenditures remain within budget and assist finance teams with reconciliation and reporting.
- Provide dedicated assistance to employees regarding travel queries, visa applications, insurance, and resolve any travel issues promptly to minimize disruptions.
- Ensure full compliance with travel policies, maintain travel records for auditing purposes, and communicate any updates in travel guidelines to the workforce.
- Organize and maintain travel related documentation for ease of access and administrative accuracy.
- Support coordination of corporate travel events such as conferences and retreats.
- Continuously evaluate travel costs and recommend measures to enhance efficiency and reduce expenses.
- Maintain open communication with internal departments about travel arrangements and support travel reporting and analysis activities.
Qualifications
The ideal candidate will possess 2 to 3 years of relevant experience as a travel coordinator or in a comparable administrative capacity, ideally within corporate or retail sectors.
