Role Overview
As a Site Administrative Coordinator at MKS's Singapore Center of Excellence, you will act as the main contact for day-to-day site operations while ensuring an excellent experience for employees and visitors. This role combines administrative duties with employee engagement and event coordination in a dynamic workplace.
Key Responsibilities
- Support the Site Director and leadership team administratively.
- Arrange all aspects of domestic and international travel including flights, accommodations, transportation, and visitor logistics.
- Oversee meeting schedules, room bookings, and visits to the site.
- Prepare and manage purchase requisitions, invoices, expense reports, and related documentation.
- Maintain accurate records, documentation, and files for the site.
- Be the principal point for office administration and facilities management.
- Liaise with vendors, building management, and service teams to ensure seamless site operations.
- Manage office supplies, equipment, and general workplace necessities.
- Assist with health, safety, and compliance administrative processes.
- Facilitate employee onboarding, including new hire coordination and site introductions.
- Plan and organize employee engagement events, recognition initiatives, town halls, and site-wide gatherings.
- Collaborate with HR and leadership to cultivate a positive workplace culture and employee experience.
- Contribute to initiatives aimed at making MKS Singapore a desirable workplace.
Qualifications & Experience
- Diploma or higher in Business Administration, Office Management, Human Resources, or related field.
- A minimum of four years’ experience in administrative support, office management, executive assistance, or employee engagement.
- Proven skills with Microsoft Office suite including Outlook, Excel, Word, and PowerPoint.
- Experienced in coordinating travel, meetings, events, and managing vendor relationships.
- Strong organizational ability to juggle multiple tasks and meet deadlines.
- Background in supporting senior leadership within multinational companies.
- Familiarity with ERP systems, Workday, Concur, or comparable business software.
- Previous work experience in technology, manufacturing, engineering, or semiconductor industries is preferred.
