This is a full-time position for an experienced mortgage operations virtual assistant who will support the early stage of the residential loan process. The work centers on borrower intake, document gathering and checking, Floify workspace administration, and daily pipeline monitoring.

The position is intended for someone who already understands mortgage workflows, borrower communication, and how to keep loan files tidy, accurate, and current. It is not a broad administrative support role.

Working schedule

The role follows a Monday-to-Friday schedule, from 9:00 AM to 6:00 PM Eastern Time, with a workload of 160 hours per month. Candidates need to be available in real time during Eastern business hours.

Key responsibilities

The role covers four major workstreams: borrower intake, document collection and verification, Floify file handling, and pipeline tracking. The selected candidate will acknowledge new leads quickly, contact borrowers during business hours, collect and verify borrower data, support 1003 application entry, open and structure borrower files, and explain next steps and timelines clearly.

Document handling will include sending request lists, following up on missing items, reviewing uploads for completeness, checking for missing pages, expired documents, unreadable scans, or mismatched information, and escalating discrepancies to the team. Files must be named properly and kept easy to review.

Inside Floify, the assistant will create and maintain borrower workspaces, update document requirement lists, manage requests, monitor uploads, refresh milestones and status, and keep the portal communication professional and current.

For pipeline tracking, the assistant will update the board each day, monitor stage, next action, and file aging, identify stalled cases or delayed borrower responses, follow up before delays build up, and provide the team with a clear daily view of active files.

Success in this role means responding to new leads within the expected window, handling borrower messages on time and professionally, reviewing submitted documents within 24 hours, keeping files organized correctly, updating the pipeline daily, maintaining a borrower-ready Floify workspace, and surfacing issues early before they affect timelines.

Assessment process
