Role Overview
We are looking for a highly skilled and reliable Senior Administrative Assistant to deliver extensive administrative and operational assistance to the Legal General Counsel and Human Resources Director. The role requires managing complex schedules, confidential tasks, and facilitating seamless communication among legal, HR, executive leadership, and other departments. The successful candidate will efficiently handle multiple urgent priorities in a dynamic setting with professionalism and discretion. Responsibilities include supporting legal documentation, compliance, onboarding, employee relations, and advancing organizational projects to enhance effectiveness.
Key Responsibilities
- Manage calendars, schedule meetings, and organize domestic and international travel for Legal General Counsel and HR Director.
- Prepare meeting agendas, briefing documents, and follow-up notes to ensure clear communication and thorough documentation.
- Support preparation, formatting, and version control for legal agreements, policies, and compliance materials.
- Maintain contract workflows involving signatures, renewals, and secure filing for legal and HR records.
- Assist governance functions such as preparing board materials and tracking compliance activities.
- Support HR operations including onboarding, offboarding, employee record management, and confidentiality maintenance.
- Coordinate candidate interviews and recruitment logistics to aid talent acquisition.
- Draft and edit internal and external communications including employee letters and HR templates.
- Serve as liaison between Legal, HR, Finance, and leadership, tracking action items to ensure timely execution.
- Assist with project coordination across legal and HR initiatives, maintaining attention to detail amidst multiple workflows.
Qualifications
- At least five years of experience in senior administrative, legal, or HR support roles.
- Ability to manage sensitive information with utmost discretion.
- Superior organizational, time management, and prioritization skills.
- Excellent written and verbal communication capabilities.
- Proficiency with Google Workspace and/or Microsoft Office Suite.
- Experience coordinating complex calendars across multiple time zones.
- Capability to work independently with minimal supervision.
- Familiarity with legal and HR documentation, processes, and compliance standards.
- Experience supporting executive leaders in remote or distributed settings is preferred.
- Paralegal or HR certification is advantageous but not mandatory.
