Role Overview

We are seeking a reliable and organized Resources Manager to join our expanding creative studio. Working closely with the Head of Community, you will be the operational backbone—managing talent outreach, facilitating creative resourcing, overseeing project coordination, and ensuring smooth administrative processes. Your role ensures the right talent is aligned with projects on schedule, minimizing any potential gaps.

Key Responsibilities

  • Coordinate daily communications with a community of 300 creative freelancers, including outreach, scheduling, and follow-ups with creative directors, copywriters, cinematographers, producers, designers, and others.
  • Manage availability and rate verifications for upcoming projects, maintaining precise and current records.
  • Assist Project Managers, Account Managers, and Producers by matching suitable talent to projects based on skills, client requirements, availability, and budget.
  • Oversee financial tasks such as monitoring invoices, tracking payments, and identifying discrepancies.
  • Keep talent and project databases accurate and well-organized.
  • Act as the initial contact for talent inquiries and applications, nurturing and strengthening relationships within the creative community.

Candidate Qualifications

  • Previous experience in creative agencies, studios, or production settings with responsibilities related to resource management.
  • Exceptional communication and organizational abilities.
  • Adept at handling multiple assignments and projects simultaneously.
  • Attention to detail, particularly in financial matters and scheduling.
  • Collaborative mindset with humility to support team workflows and priorities.
  • Strong interest in the advertising and film sectors and passion for engaging with creative talent.
  • Knowledge of talent databases, project management platforms, and invoicing or accounting software is advantageous.
  • Existing connections within the creative production industry are a plus.
