Role Overview

We seek a Recruiting Coordinator / Operations professional to establish a superior recruiting engine as fal scales up. While this role emphasizes coordination, it encompasses much more than scheduling—you will manage the systems and workflows that keep our team organized, and drive improvements over time.

Your responsibilities will include developing scalable processes, documentation, and tooling that evolve with our company, rather than merely executing existing methods.

Primary Responsibilities

  • Maintain accurate and consistent data across our Applicant Tracking System (ATS), Ashby, and other recruiting tools through frequent audits.
  • Monitor interview feedback completion, ensuring service level agreements are satisfied through timely follow-ups.
  • Update and manage recruiting-related documentation and communications channels, including Slack.
  • Track and analyze recruiting metrics such as time-to-fill, interview-to-offer ratio, and sourcing effectiveness; provide data-driven recommendations for continuous improvement.
  • Detect workflow gaps and suggest process enhancements to optimize recruitment operations.
  • Contribute actively to broader recruitment projects such as employer branding and onboarding refinements.
  • Coordinate all interview arrangements end-to-end, dealing with candidates, hiring managers, and interviewers to resolve scheduling conflicts and logistics across multiple calendars and time zones while maintaining a high standard of candidate experience.
  • Manage logistical support including travel, expenses, venue arrangements, and technical assistance related to interviews.
  • Serve as the main contact point for candidates from initial screening through to offer stages, communicating in a courteous, professional, and timely manner.
  • Proactively monitor scheduling to anticipate and resolve potential bottlenecks, maintaining rapid hiring progress.
  • Utilize Ashby's scheduling automation features to reduce manual tasks and improve efficiency.
