Prime Property Management is a California-based property management firm that focuses on delivering dependable service to both property owners and tenants. The business handles residential rental homes across California and is expanding its team with a Property Management Assistant.
Role overview
This position calls for a well-organized, detail-focused professional with strong English communication abilities. You will support the property management team in everyday administrative work, tenant communication, leasing coordination, and the move-in/move-out workflow.
Prior exposure to property management is helpful but not mandatory. Full training will be provided on the company’s procedures, software tools, and California property management practices. The main priorities are clear communication, a positive mindset, and eagerness to learn.
Key responsibilities
- Handle questions from prospective tenants through email, phone, and text messages.
- Arrange property viewings and assist throughout the leasing process.
- Track and follow up with applicants about forms and supporting documents.
- Plan and coordinate move-in and move-out inspection schedules.
- Work with maintenance vendors and contractors as needed.
- Maintain professional communication with owners, tenants, and vendors.
- Keep records accurate and update the property management system regularly.
- Draft and distribute notices, emails, and other written communication.
- Support lease preparation and the onboarding process for new tenants.
- Provide day-to-day administrative assistance to the property management team.
Preferred qualifications
Ideal candidates may have experience in customer service, administration, real estate, or property management.
Experience supporting U.S.-based clients is valued, especially where professional communication standards and customer expectations are well understood.
Familiarity with CRM tools, leasing platforms, or property management software is an added advantage.
Experience handling projects, vendors, maintenance requests, or service providers will be useful.
Prior work with remote teams supporting U.S. businesses is also considered beneficial.
