About the Role
The Project Support Officer is an essential member within the Data Portfolio team, responsible for delivering administrative and coordination assistance across a range of global projects and programmes. This position enhances the operational efficiency of project delivery by managing documentation, coordinating meetings, aiding governance procedures, maintaining updated project information, and acting as a liaison between project stakeholders and teams. The role ensures adherence to project delivery standards and aids the smooth daily functioning of assigned projects.
Key Responsibilities
- Keep project data, trackers, and records current to facilitate programme and project activities.
- Provide comprehensive administrative support such as scheduling, documentation management, and meeting coordination to Programme and Project Managers.
- Create and circulate project updates, meeting minutes, and action items to maintain clear and effective communication channels.
- Manage governance-related documentation including risks, issues, actions, and decisions under the guidance of management.
- Assist with budget tracking, purchase orders, and invoice processing to ensure accurate financial administration.
- Collaborate with Finance and PMO teams to maintain precise financial and project data.
- Organise and maintain SharePoint sites and document repositories, ensuring compliance with company document management standards including version control.
- Coordinate team meetings, workshops, and events, handling invitations, venues, agendas, and minute taking.
- Prepare project documentation, presentations, and status reports to support project communications.

- Efficient completion of administrative tasks and timely coordination of meetings and reports.
- Consistent positive feedback from managers and stakeholders about support quality and communication.
- Well-maintained and accessible SharePoint sites and document repositories.
- Accurate and available project information to back project delivery efforts.
- Proactive engagement in refining administrative processes and improving workflows.
Qualifications and Skills
- Degree-level education or equivalent professional experience.
- Training in Portfolio or PMO management is a plus.
- Excellent organisational, documentation, and coordination capabilities.
- Strong verbal and written communication skills.
- High level of professionalism with discretion and integrity.
- Confident stakeholder engagement across various business levels.
- Detail-focused and capable of managing multiple concurrent tasks.
- Proficient in key project and portfolio software such as SharePoint and Microsoft Office Suite.
Experience
- Supporting complex programmes and multiple projects simultaneously.
- Familiarity with Agile, Waterfall, or Hybrid project delivery methodologies.
- Background in centralized PMO or Portfolio Delivery environments managing diverse initiatives.
