About the Role
This full-time position is based in London with a requirement to be onsite at headquarters at least four business days per week to nurture team synergy, foster co-creation, provide hands-on coaching, and enhance collaboration with both project teams and business stakeholders.
As a Project Manager at Urban Gym Group, you will be responsible for stewarding strategic projects end-to-end, independently leading initiatives that span multiple functions, ensuring governance and reporting standards are met, and acting as a trusted collaborator with stakeholders across the company. This role involves close cooperation across diverse business areas including Finance, Marketing, IT, Digital Systems, and Club Operations, providing exposure to strategic decision-making and enabling impactful cross-functional outcomes aligned with company objectives.
Key Responsibilities
- Own planning, execution, and delivery of strategic projects across various departments, managing their scope, budget, timelines, and quality.
- Develop detailed project plans, set schedules, and deliverables, while overseeing their complete implementation and progress reporting.
- Proactively identify and handle risks, issues, and dependencies, escalating when necessary to ensure timely resolution.
- Drive projects to successful completion according to agreed milestones and success criteria.
- Implement and continuously enhance PMO processes, tools, and templates to uphold consistency and high standards throughout the project portfolio.
- Ensure adherence to organizational project management frameworks and promote best practices across teams.
- Maintain ownership of project reporting, creating and managing insightful reports and dashboards using Monday.com for project teams, steering committees, and leadership.
- Convert project information into actionable insights, communicating risks, challenges, and opportunities promptly to stakeholders.
- Facilitate After Action Reviews with full project teams upon completion of projects.
- Oversee resource planning and allocation, balancing availability and priorities across projects.
- Manage onboarding of new team members and external partners into projects.
- Serve as the primary liaison between project teams, business owners, and senior stakeholders, leading key meetings to ensure decisions are clear, documented, and acted upon.
- Manage stakeholder expectations and secure necessary buy-in on project decisions and change requests.
- Drive continuous improvement of PMO tools, workflows, and methodologies based on lessons learned and experience.
- Contribute to the growth of the PMO by mentoring and sharing knowledge with less experienced colleagues.
Qualifications
- Master's degree in Business Administration, Management, or a closely related discipline.
- 3 to 5 years of verifiable experience managing projects throughout their lifecycle, ideally within fast-paced, multi-site, or scaling organizations.
- Demonstrable experience utilizing AI technologies such as Claude.
- Proven record of delivering cross-functional projects on schedule and within budget constraints.
- Exceptional stakeholder management skills capable of influencing and aligning diverse teams at various organizational levels.
- Strong communication skills, both verbal and written.
- Practical experience with project management software, particularly Monday.com.
- An analytical mindset with meticulous attention to detail alongside the ability to appreciate the broader organizational context.
- Excellent problem-solving abilities and skill in prioritizing tasks across multiple concurrent projects.
- Self-motivated with a proactive and hands-on approach, thriving in dynamic work settings.
