Project Manager

About the Role

This position serves as a pivotal delivery and resourcing coordinator within an international studio, ensuring active projects are tracked and workloads are equitably distributed among team members worldwide. You will be the dependable point of contact for chasing updates, monitoring progress, and guaranteeing no details are overlooked. Reporting to the Delivery Lead, you will implement daily directives initially and progressively take on independent decision-making in resourcing and delivery as trust develops.

N4 Studio is a leading global partner for Webflow, specializing in website creation and management from complete build projects to ongoing retainers (N4+). The team is composed of about 70 professionals worldwide, including locations in New Zealand, Australia, the UK, Serbia, Brazil, Canada, and the US. Operating globally enables rapid progress and dynamic growth, with a focus on delivering services primarily to large corporate clients in the US, Australia, New Zealand, and the UK.

Job Responsibilities

• Maintain up-to-date and accurate task estimations in the project management tool (Productive), following up on outstanding inputs.
• Distribute incoming tasks from customer service and project management teams to balance workload evenly across the global team.
• Ensure no team members are either overburdened or underutilized and correctly organize project stages in Productive.
• Regularly contact team members for delivery updates, efficiently tracking progress and addressing any delays.
• Provide real-time visibility into project statuses including ongoing, pending, or at-risk activities across the studio.
• Keep clear and consistent communication with the team and the Delivery Lead regarding delivery status and issues.
• Maintain Productive as the authoritative source of truth for the delivery pipeline and hygiene of project data.
• Identify and recommend improvements to workflows and tracking processes to adapt to the growing global team and coordinate implementation with the Delivery Lead.
• Proactively highlight capacity concerns and delivery risks early to enable timely mitigation.
• Support account teams with accurate status reporting when requested.

Additional Growth Responsibilities

• Participate in Webflow content loading by updating and populating content within active Webflow projects.
• Conduct QA and testing efforts to review deliverables before client launches.
• Develop an understanding of team member strengths related to design and development work to optimize task assignments.
• Establish resource forecasting within Productive to anticipate hiring needs ahead of demand.

Candidate Profile

• Demonstrated expertise with project management tools, with direct Productive experience preferred but flexibility to learn new PM tools is essential.
• Excellent English communication skills both written and verbal, ensuring reliable cross-team collaboration.
• Proven ability to thrive in high-volume, fast-paced environments, such as agencies, tech/software, or BPO sectors.
• Highly detail-oriented and naturally organized, accustomed to coordination workflows including chasing, tracking, staging, and reconciling tasks.
• Fluent in using spreadsheets or other tracking systems for resource scheduling and reporting.
• Experience leveraging AI tools to enhance workflow efficiency, including smarter status updates and faster synthesis of information.
• Comfortable operating across multiple time zones with flexible or shift-based scheduling.

Preferred Skills and Experience

• Prior experience with resource forecasting or capacity planning.
• Familiarity with QA testing protocols and content management operations.
• Basic knowledge of web design and development processes.
