Position Summary
The Project Coordinator plays a vital role in supporting the PMO Program Manager and Risk Analyst by managing project cost controls, schedule oversight, and contract-related tasks to mitigate risks, support claims processes, and monitor the performance of extensive capital campus construction initiatives. This position requires excellent administrative, financial management, reporting capabilities, and communication skills. The coordinator will collaborate closely with technical leads, cost analysts, and contractor teams to ensure transparent cost and schedule tracking across multiple project sites.
Primary Responsibilities
- Review and validate task order requests, change orders, and contract amendments to ensure budgets are available, costs are correctly coded, and reports are timely.
- Collect, organize, and maintain project documentation such as meeting minutes, Requests for Information (RFIs), submittals, change orders, and schedules in a well-structured and auditable system.
- Enter and track financial transactions including invoices, task orders, and change orders within operating systems.
- Conduct data mining and trend analysis to generate reports that identify early signs of potential impacts to cost or schedule that could lead to disputes or claims.
- Assist in gathering supporting materials and documentation for expert analysis in dispute or litigation scenarios.
- Create clear and concise internal reports for risk management teams and program office stakeholders.
- Ensure adherence to organizational policies, procedures, and plans related to cost management, risk mitigation, and claims resolution, aligning with BuildLACCD guidelines.
- Collaborate with CPT Cost Analysts to support college requests for financial and project data.
- Travel to off-site project locations as needed for reviews, meetings, and coordination activities.
- Perform additional duties or special projects that support risk management, dispute resolution, and litigation functions within the program.
Work Environment
This position involves managing multiple campuses and projects simultaneously, requiring effective handling of competing priorities. Some travel to construction sites will be necessary. The candidate must be comfortable operating within a matrixed program management framework and interacting with senior-level stakeholders, technical leads, contractors, and consulting partners.
Required Qualifications
- At least 5 years of experience in administrative roles, project support, construction management, or business operations.
- A bachelor’s degree in Engineering, Construction Management, Business, or a related field, or equivalent additional experience in lieu of degree.
- Proficiency in Microsoft Office applications (Word, Excel) and familiarity with database or project tracking software.
- Strong organizational skills and high attention to detail, with the ability to support dynamic and fast-paced project environments.
- Excellent interpersonal abilities, demonstrating tact, diplomacy, and professionalism when managing sensitive or confidential matters.
Preferred Qualifications
- Experience working with educational facility programs or large-scale public works construction projects.
- Knowledge of change-order management, budget forecasting, risk analysis, claims support, or dispute resolution processes.
- Familiarity with cost control systems, project management databases, and scheduling tools.
