Role Overview
The Prequalification Administrator position, based in Foxford, County Mayo, is a permanent, full-time role pivotal to the preparation, coordination, and submission of prequalification and tender documentation. This role supports bid administration and document control, contributing to the successful procurement and project delivery processes.
Key Responsibilities
- Coordinate and assist in developing prequalification and tender submissions, including Prequalification Questionnaires (PQQs).
- Maintain comprehensive records of project templates, CVs, case studies, certificates, and company details to support submissions.
- Complete online prequalification portals and client questionnaires with accuracy.
- Collaborate with internal teams across bid, commercial, project, health & safety, quality, and operations to gather necessary information.
- Proofread, format, and quality check all submission documents ensuring consistency and accuracy.
- Maintain strict adherence to submission deadlines and track all timelines.
- Manage and update bid libraries, templates, and standard response documents.
- Monitor tender portals for updates, clarifications, communications, and potential opportunities.
- Provide general administrative assistance to the bid and prequalification teams.
- Contribute to continuous improvement initiatives for prequalification processes and document management.
Candidate Profile
- Proven experience in administration roles related to bid support, document control, tender coordination, or similar fields.
- Prior exposure to construction, civil engineering, prequalification, tendering, or bid administration is highly beneficial.
- Meticulous attention to detail with strong document preparation and quality assurance skills.
- Excellent written and verbal communication capabilities.
- Effective organizational skills to manage and prioritize multiple deadlines.
- Proficient with Microsoft Office applications, especially Word, Excel, PowerPoint, and Outlook.
- Proactive, confident in taking ownership of responsibilities and engaging with internal stakeholders effectively.
- Ability to work independently as well as collaboratively within a team.
- Familiarity with document management systems and online portal usage.
- Preference for candidates residing within feasible commuting distance to the Foxford office.
