Job description

Overview

We are seeking a proactive and highly organised Personal Assistant (PA) to support our Vario Group leadership team. This role is key to ensuring the efficient daily operations and providing high-quality administrative and business assistance across the function. You will develop strong relationships with senior leaders and manage competing priorities within our fast-paced, expanding practice group.

Key Responsibilities

  • Manage complex diaries, meetings, and appointments for senior leadership.
  • Coordinate domestic and international travel plans, accommodation, and detailed itineraries.
  • Organise various internal and external meetings, events, and workshops.
  • Prepare agendas, briefing materials, presentations, and supporting documents.
  • Oversee inbox management, handle correspondence, and communicate on behalf of stakeholders.
  • Manage expense claims and invoice submissions.
  • Record meeting minutes and follow up on action items as necessary.
  • Support business development tasks such as client event coordination and relationship maintenance.
  • Assist in bids, proposals, client reporting, and marketing materials preparation.
  • Collaborate closely with Finance, IT, Human Resources, Facilities, and Document Production teams.
  • Identify and implement improvements to team processes and working methods.
  • Work flexibly to support various members of the wider Vario leadership group ensuring business goals are met.

Candidate Profile

  • Previous experience as a Personal Assistant or equivalent role within professional services.
  • Able to effectively support senior leaders and engage with stakeholders at all levels.
  • Exceptional organisational and time management abilities.
  • Attention to detail with capacity to juggle multiple competing priorities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office suite, especially Outlook, Word, PowerPoint, and Excel.
  • Capable of working independently, demonstrating initiative.
  • Possesses a collaborative mindset, flexibility, and a strong customer service focus.
  • Handles confidential information with utmost discretion and professionalism.
