The brand first launched in 2003 with a fragrance inspired by the feeling of freshness and simplicity, and later expanded its clean-beauty approach with the CLEAN Reserve collection in 2015, which helped pioneer the use of sustainable ingredients in prestige fragrance. In September 2018, the company became Clean Beauty Collective, Inc., and in Fall 2021 it planned to extend the CLEAN Reserve line into new beauty categories, including cleansing products for hair, face, and body.
Role Overview
The Operations/Logistics Coordinator supports the Senior Manager, Operations with purchasing, production planning, transportation, and inventory coordination. The position acts as a bridge between Operations, Logistics, suppliers, warehouses, carriers, and internal teams to help keep supply chain activities moving efficiently. It also involves close collaboration with Sales, Marketing, Product Development, Finance, Customer Service, and Operations to support product launches and day-to-day business needs.
Core Operations Duties
- Set up new item codes, UPCs, and GTINs in SAP and the item master, then share them with the wider team.
- Build bills of materials for new products in Excel and SAP and circulate them to stakeholders.
- Review artwork proofs to confirm component codes are accurate.
- Track open orders, follow up with vendors so components and finished goods are delivered on schedule, and send weekly open order updates to the relevant teams.
- Close purchase orders at month-end once they have been completed.
Logistics and Transportation Duties
- Coordinate domestic freight between fillers, component suppliers, and fulfillment warehouses, including obtaining packing slips, resolving shipment issues, and ensuring pickups happen on time.
- Support inventory work such as physical counts, transfers, entries, and adjustments.
- Assist with receiving finished goods at the warehouse and resolve any discrepancies so products are recorded correctly.
- Request freight quotes from carriers, compare options, and select cost-effective transportation methods.
- Track transportation spend across USPS, FedEx, DHL, trucking, ocean, and air shipments, and review/code related logistics invoices for accounts payable.
- Monitor imports, shipment progress, and estimated arrival times, then update Operations accordingly.
- Check export and shipping paperwork for accuracy and coordinate export-related warehouse matters, including customs documents, IMO/DG declarations, SLI, commercial invoices, and packing slips.
- Handle shortages, damages, shipping issues, retailer chargebacks, and logistics violations.
- Support the duty drawback process.
- Process daily receipts for components, finished goods, transfers, and production orders in SAP ERP.
- Arrange shipping of vendor, customer, and office samples.
Working Environment
This is a hybrid position based in New York, with office presence at 45 West 45th Street. The role reports to the Senior Manager, Operations and the Director, Logistics & Customer Service, and does not manage direct reports.
Experience and Skill Expectations
The company is looking for someone who can stay effective in a fast-moving, entrepreneurial environment, maintain a high level of accuracy, and communicate clearly with both internal and external partners. Strong Excel capability, ERP experience, and familiarity with operations, planning, inventory, and MRP processes are important.
