Role Overview
We are seeking an Office Manager to join our expanding Berlin team. This is an on-site position requiring presence at the Berlin office at least four days per week. The ideal candidate will be highly organized, proactive, and embody positive energy to ensure smooth office operations. You will act as the vital link supporting the team and contributing towards the company’s growth and the energy transition in Germany.
Key Responsibilities
- Serve as the main contact for the German office team, clients, and partners.
- Manage travel and accommodation arrangements for visitors.
- Organize and facilitate internal and external events, including client and prospective client gatherings.
- Coordinate office catering for meetings and team lunches, including large-scale plans.
- Plan and execute cultural celebrations and global initiatives locally.
- Manage communication channels such as email and Slack within and beyond the office.
- Maintain and advance health and safety standards in the office environment.
- Prepare onboarding for new employees, handle equipment provisioning, and monitor technology inventory.
- Oversee relationships with external service providers such as cleaning, suppliers, and building management.
- Manage branded merchandise stocks for in-office and event distribution.
- Create and update comprehensive office documentation and internal guides, including Notion pages.
Candidate Profile
- Strong stakeholder management skills, comfortable interacting with diverse individuals inside and outside the company.
- Experience or familiarity with health and safety regulations and processes, capable of designating fire wardens and advocating for safety compliance.
- Passion for event planning and execution, ensuring successful organization of various office events.
- Exceptional organizational skills with the ability to multitask and maintain calm under pressure.
- Adaptable and capable of handling multiple responsibilities within a dynamic environment.
- Self-driven with a builder mindset, willing to define and enhance office management practices at Kraken.
- Experience in cultivating company culture and enthusiasm for contributing to its development.
- Fluency in German at C1 level is required.
