Role overview
Sanctuary by Esto Care FZ is looking for a well-organised and initiative-taking Office Admin to support its UAE operations. This role is focused on keeping day-to-day office activity running efficiently, maintaining smooth administrative processes, and assisting with HR as well as visa-related coordination.
Key responsibilities
- Oversee routine office administration and keep daily operations running smoothly.
- Manage incoming and outgoing correspondence, including emails, calls, and document handling.
- Organise meetings, keep calendars up to date, and arrange appointments.
- Maintain filing structures, records, and internal databases.
- Track office supplies and liaise with vendors when replenishment or support is needed.
- Draft reports, letters, and other internal paperwork.
- Support employee onboarding and general HR administration.
- Coordinate UAE staff visa processing, renewals, cancellations, and related follow-ups.
- Assist the finance and HR departments with administrative tasks.
- Help ensure internal processes remain aligned with company policies and UAE regulations.
Requirements
- A Bachelor’s degree or Diploma in Business Administration or a closely related discipline.
- At least 2 years of office administration experience within the UAE.
- Hands-on experience with UAE visa processing and PRO support work is required.
- Working knowledge of UAE labour and immigration procedures is a strong advantage.
- Good English communication skills; Arabic language ability is an added advantage.
- Comfortable using Microsoft Office tools such as Word, Excel, and Outlook.
- Strong ability to organise tasks, manage multiple priorities, and work across different duties.
- Careful attention to detail and a professional approach to work.
