Role Overview

The FFE Project Coordinator will be responsible for managing procurement and project coordination activities specifically related to Furniture, Fixtures, and Equipment (FFE) packages within projects, ensuring alignment with specified requirements and budgets.

Key Responsibilities

  • Manage procurement tasks for FFE packages following project specifications and budget limitations.
  • Collect quotations, prepare comparative analysis, and aid in evaluating suppliers.
  • Monitor purchase orders from initiation through final delivery stages.
  • Communicate with both international and local suppliers concerning pricing, timelines, compliance, and production coordination.
  • Follow up on necessary supplier documents including samples, certifications, and approvals.
  • Review FFE schedules, drawings, specifications, and bills of quantity (BOQs) to ensure accuracy.
  • Work collaboratively with designers, consultants, and project teams to resolve discrepancies related to FFE procurement.
  • Maintain procurement tracking systems and project status reports continuously.
  • Identify and manage potential procurement risks or delays against project milestones.
  • Supervise production progress and ensure supplier adherence to agreed manufacturing schedules.
  • Coordinate quality inspections, reviews, and factory acceptance tests when applicable.
  • Arrange shipping, customs clearance, and coordinate the timely delivery of materials to site.
  • Keep detailed and accurate procurement records, purchase orders, and supplier communication logs.
  • Generate weekly and monthly procurement progress updates and cost tracking reports.
  • Organize all project documentation to ensure ready accessibility.
  • Serve as the key liaison between procurement, design teams, project management, suppliers, and contractors.
  • Assist in resolving commercial and technical issues affecting project progress.

Qualifications and Experience

  • Bachelor’s degree in Engineering, Interior Design, or Architecture.
  • At least 3 to 5 years of practical experience in FFE procurement and project coordination roles.
  • Previous involvement in hospitality, luxury residential, or hotel sectors.
  • Proven experience working with international suppliers and manufacturers.
  • Strong knowledge of FFE schedules, specifications, BOQs, and procurement workflows.
  • Competency in developing comparison sheets, procurement trackers, and comprehensive procurement reports.
  • Understanding of international procurement standards, including logistics and shipping procedures.
  • Proficient with Microsoft Excel, Word, PowerPoint, and related procurement monitoring tools.
  • In-depth knowledge of materials, finishes, and furniture manufacturing practices.
  • Well acquainted with global furniture brands and their suppliers.
