Position Overview
We are looking for an Executive Assistant to support the Chief Executive Officer and Chief of Staff. This role requires a proactive and resourceful individual who enjoys working in a fast-moving, mission-driven, results-focused, and community-oriented atmosphere. The ideal candidate will demonstrate sound judgment, strong communication skills (both written and verbal), meticulous attention to detail, and excellent organizational and administrative capabilities. The ability to manage multiple tasks effectively under pressure, handle highly confidential information with discretion, and work independently from project inception to completion is essential.
Key Duties and Responsibilities
- Manage a comprehensive range of administrative and personal tasks for the CEO and Chief of Staff, including overseeing a highly active appointment calendar, preparing expense reports, coordinating complex business and personal travel plans and itineraries, organizing travel meeting documents, scheduling appointments, and assisting with personal errands as needed.
- Collaborate with the CEO and Chief of Staff to support Board of Director and Executive Leadership Team meetings by maintaining agendas, scheduling presenters, and managing the collection, proofreading, and distribution of meeting materials.
- Coordinate internal and external meetings, organize conference calls, and protect executives' schedules by prioritizing demands and suggesting alternatives to avoid conflicts.
- Serve as the administrative liaison among executives, Board members, employees, and external contacts, maintaining professionalism, kindness, and efficiency.
- Assist with general research, company and departmental projects including presentations, project tracking, and organizing virtual and in-person events as necessary.
- Respond promptly to inquiries from executives and team leads.
- Continuously seek and implement process improvements to enhance administrative support efficiency.
- Maintain precision, attention to detail, and urgency while managing multiple priorities.
Qualifications and Requirements
- At least 5 years of experience supporting C-Level executives.
- Bachelor’s degree is preferred.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and DocuSign.
- Exceptional organizational, project management, problem-solving, and multitasking capabilities.
- Strong verbal and written communication skills.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Excellent interpersonal skills with a friendly and professional demeanor.
Work Environment and Additional Information
- The role requires working onsite at our New York City office (1 Pennsylvania Plaza) three days per week and remotely two days per week.
- Work environment is dynamic, collaborative, fast-paced, and entrepreneurial.
- Domestic and international travel will be required approximately 10% of the time.
Compensation and Benefits
The position offers a salary in the range of $125,000 to $150,000 USD annually. Compensation is influenced by market location and individual knowledge, skills, and experience. Additional components of the total compensation package may include equity, a comprehensive benefits plan (medical, dental, vision), 401k, unlimited paid time off, and parental leave.
