Position Overview
This pivotal support role underpins the efficiency of C-suite executives by orchestrating complex scheduling, managing critical communications, and enabling smooth cross-functional operations to empower leadership focus on company growth.
Primary Responsibilities
- Oversee detailed, multi-time zone calendars, resolving conflicts proactively and prioritizing engagements effectively.
- Organize extensive domestic and international travel arrangements, including accommodations and logistical details.
- Administer monthly expense processing, invoice approvals, and internal documentation through platforms such as Concur and Ramp.
- Develop meeting materials such as agendas, slide decks, and briefing notes while ensuring cross-team action items are tracked and completed.
- Manage confidential executive communications with the highest level of discretion.
- Coordinate comprehensive planning and execution of executive retreats, board meetings, and team events.
Qualifications
- Between three and six years supporting senior executives in a rapidly growing technology or corporate setting.
- Mastery of productivity software including Google Workspace, Microsoft 365, Zoom, and executive travel tools.
- Outstanding verbal and written communication coupled with exceptional attention to detail.
- Proven capacity to handle multiple priorities independently and maintain composure under pressure.
- Possession of a Bachelor's degree or comparable administrative experience.
- Additional advantage for experience with Notion, Asana, and board communications management.
