Position Overview: Executive Assistant

Stationed at Rocket Lab’s Long Beach headquarters, the Executive Assistant will manage complex scheduling for C-suite executives, coordinate meetings across multiple time zones, process expenses, multitask across projects, prepare materials for meetings, and handle various administrative tasks. Attention to detail, strong organization, prioritization, and efficiency under tight deadlines are crucial. This role directly supports executive leadership with critical deliverables involving internal leadership, board meetings, and investor relations.

Key Responsibilities

  • Provide trusted support ensuring smooth daily operations and assist with strategic projects for C-suite executives.
  • Serve as primary liaison among executives, board members, investors, and external stakeholders, representing the company at senior levels.
  • Manage executive calendars and schedules effectively.
  • Coordinate domestic and international travel arrangements and event reservations.
  • Plan and execute logistics for meetings, conferences, off-site events, including preparation for board and investor presentations.
  • Prepare and reconcile expense reports promptly.
  • Document and share meeting minutes and follow-up action items.
  • Welcome guests and assist with projects related to visitors.
  • Perform additional duties as assigned.

Required Qualifications

  • Minimum of five years’ administrative experience.
