Your Role
In this position, you will offer extensive support to Vice Presidents and higher-level executives by managing complex schedules, arranging key meetings, and handling essential travel plans. You will play a crucial role in maintaining seamless operations by addressing technical matters, establishing protocols, and acting as a reliable intermediary for both internal and external stakeholders. This role provides the chance to enhance executive workflows, assist with special projects, and proactively manage information flow for senior leadership.
Key Responsibilities
- Manage intricate calendars and appointments for VP-level executives, taking into account global time zones and holidays.
- Organize meetings including preparing agendas, coordinating logistics, and liaising with partners.
- Arrange domestic and international travel plans with detailed itineraries and pre-travel briefings.
- Prepare and manage confidential internal communications as well as oversee requests and approvals.
- Support the delivery of special projects and help organize team and corporate events.
Required Qualifications
- Minimum of 5 years experience in administrative roles.
- At least 2 years providing administrative support to executives at Vice President level or above.
- Proven expertise in managing senior leadership calendars.
- Skilled in coordinating travel arrangements and preparing associated documentation.
- Experience in organizing meetings and events effectively.
Preferred Experience
- Ability to build and sustain relationships with key collaborators.
- Capability to act as a delegate or advisor regarding correspondence and approval processes.
- Experience mentoring administrative team members.
- Proficiency in technology protocols for record keeping and communications management.
- Background in organizing speaking engagements and preparing executives for public appearances.
