Role Overview
The Executive Assistant will oversee the daily and extended scheduling needs for multiple partners within the firm. Responsibilities include coordinating all travel, arranging both internal and external meetings, and providing a variety of administrative supports. This role offers an excellent opportunity to gain insight into the communications industry and firm operations while collaborating closely with senior partners.
Primary Duties
- Manage intricate calendars and schedules using Microsoft Office tools, organizing all meetings and commitments for executives.
- Act as the liaison between partners, staff, and clients to facilitate smooth communication.
- Arrange domestic and international travel plans efficiently.
- Offer IT support when necessary.
- Prepare and submit monthly expense reports for executives.
- Collaborate with other executive assistants and schedulers.
- Maintain and update the personal and professional contact databases of executives.
- Assist with personal errands for partners as required.
- Maintain flexibility in work hours, including evenings and weekends.
Candidate Requirements
- Minimum of two years’ experience supporting high-level executives or Capitol Hill in scheduling or administrative roles.
- Proven ability to manage multiple projects and priorities in a high-pressure environment while meeting deadlines.
- Exceptional organizational skills and strong attention to detail.
- Proactive self-starter who anticipates needs and resolves problems swiftly.
- Strong interpersonal skills capable of working well with diverse personalities.
- Adaptability to evolving workplace responsibilities and demands.
- Positive, can-do attitude, and willingness to work beyond standard office hours, including weekends.
- Excellent verbal and written communication abilities.
Employment Details and Benefits
This full-time position requires 40 hours per week, with a hybrid work schedule combining remote and onsite office presence. Classified as non-exempt under the Fair Labor Standards Act, the role allows for overtime compensation.
The salary for this position is budgeted at $60,000 annually, with potential for a year-end bonus. Benefits include medical, dental, vision, 401(k), life insurance, paid parental leave, paid vacation, and sick leave programs.
