About the Role

APEX Biologix's XCELL Learning Center in Clearwater, Florida, is seeking a highly organized operational leader to oversee the execution of its physician education programs. The Center provides cutting-edge clinical training experiences including workshops, Clinical Intensives, Implementation Weekends, webinars, and flagship RISE programs. Reporting directly to the Senior Vice President of Medical Education, the Director of Program Operations will co-lead event operations to ensure a seamless and professional experience for physicians and faculty.

Key Responsibilities

  • Plan and execute operational details for physician education programs, including registration management, onsite check-in, waitlists, and substitutions.
  • Prepare event materials such as registration kits, name badges, agendas, signage, and participant packets.
  • Coordinate catering, room setups, audiovisual needs, and overall facility readiness.
  • Create detailed schedules and run-of-show timelines to ensure punctual, smooth events.
  • Resolve operational issues promptly during events.
  • Manage room assignments, event layouts, and maintain an organized educational environment in collaboration with Medical Education Managers.
  • Assist with scheduling and utilization of the learning center spaces.
  • Oversee project timelines, coordinate deliverables across departments including Medical Education, Marketing, Sales, and Facilities.
  • Track operational milestones and support post-event evaluations to enhance future programming.
  • Serve as a welcoming, professional point-of-contact for attendees and faculty, ensuring exceptional hospitality standards.

Required Qualifications

  • Bachelor's degree or equivalent professional experience.
  • Minimum five years’ experience in event operations, conference management, hospitality, healthcare operations, training programs, or related areas.
  • Strong organizational and project management abilities.

  • Excellent communication and interpersonal skills with meticulous attention to detail.
  • Proficiency with Microsoft Office software.
