Overview
The Coordinator Sales Support & Logistics role is dedicated to providing full-spectrum operational, administrative, and supply chain assistance to the EGME Sales division. The position requires managing the movement of vehicle inventory from arrival through to customer delivery, overseeing invoicing procedures, coordinating vehicle registration activities, and facilitating seamless interaction between logistics networks and the After Sales Service team to expedite vehicle processing.
Key Responsibilities
- Create and manage Vehicle Sales Orders (VSB) within the Autoline system, ensuring technical specifications, distribution details, and tracking information are accurate and up to date.
- Maintain vigilant control over both localized and regional automotive stock, perform regular inventory cycle counts, supervise yard storage, conduct asset condition audits, and update inventory tracking databases in real-time.
- Serve as the liaison between sales and workshop operations, scheduling vehicle preparations, conducting pre-delivery inspections, and coordinating accessory installations to optimize workshop throughput.
- Handle the commercial invoicing process for approved retail and corporate vehicle sales, verifying profit margins, aligning transactions with internal approvals, and collaborating with finance teams to ensure prompt processing.
- Oversee localized vehicle registration procedures by coordinating with transport authorities such as RTA and AUH Muroor, preparing necessary legal documentation, customs compliance papers, and corporate ownership records.
- Compile, analyze, and report on supply chain data emphasizing milestones, delivery delays, and inventory status, delivering actionable operational metrics to leadership to aid tactical planning.
Communication & Working Relationships
- Internal collaboration with Sales Administration, Finance, After Sales Service Workshop, PDI Teams, and Middle & Senior Management.
- External engagement with logistics providers, freight and customs agencies, bodybuilders, government and traffic registration authorities, and customers as required.
Qualifications & Experience
- Diploma or Bachelor’s degree in Supply Chain, Business Administration, Logistics, or a related field.
- Possession of a valid local driver’s license is mandatory.
- Minimum of 1 to 3 years’ experience in a similar role within vehicle logistics or automotive sales operations.
- Experience managing vehicle customs clearance and transportation authority regulations.
Technical Skills
- High proficiency in Microsoft Office, particularly advanced Excel skills including use of VLOOKUP, pivot tables, and conditional formulas.
- Familiarity with AUTOLINE or dealer management systems is advantageous.
