Overview

The Contingent Labour Office (CLO) partners with internal teams to facilitate efficient and client-focused engagement of external resources while managing commercial interests and mitigating risks.
Key Objectives
- Maintain and grow expertise in contingent workforce practices and market trends.
- Serve as trusted advisors to challenge existing methods and innovate solutions.
- Deliver exceptional service by minimizing administrative burdens and proactively collaborating with Hiring Managers.
Work Location and Structure
This role may be based anywhere in Canada, with the possibility for virtual work. Occasional in-office presence (1-2 days per month) may be required for company meetings.
Primary Responsibilities
- Manage external resource engagement processes from initial setup through contract renewal or termination across multiple Canadian locations.
- Contribute to operational excellence by refining internal processes, technologies, and documentation.
- Advise and support Hiring Managers on external resource engagement leveraging specialized expertise.
- Utilize technology to enhance the CLO’s processes and user experience.
- Continuously update and optimize relevant documentation and stakeholder communications.
Case Management Tasks
- Champion a client-focused approach and build CLO’s reputation as a subject-matter expert team.
- Conduct intake discussions with senior Hiring Managers including Partners and Senior Managers.
- Provide training and guidance on the vendor management system for submitting requests.
- Collect, analyze, and verify information for external resource onboarding and management within the vendor management system.
- Perform due diligence efforts such as background checks, contract history, and compliance verifications.
- Keep stakeholders informed on case statuses and maintain comprehensive records for reporting and audit purposes.
- Identify complex cases and collaborate with the team to ensure resolution of business needs.
- Respond promptly to inquiries, providing tailored information, clarifications, and instructions.
Process Governance & Improvement
- Lead or participate in process improvement projects, including analysis of issues and change management.
- Maintain and update Standard Operating Procedures, forms, templates, and knowledge base articles.
- Ensure documentation of policies and practices is current and accessible to relevant parties.
- Educate and support various internal teams on updated processes.
- Stay informed on contingent workforce regulations, policies, and best practices.
Candidate Qualifications
- 3 to 5 years of experience in case management roles.
- Background in managing agencies, staffing firms, or contingent workforce arrangements considered an advantage.
- Excellent written and spoken communication skills in English; bilingualism in French is preferred.
- Proven ability to engage with diverse stakeholders, including senior executives, contractors, suppliers, and subject-matter experts.
- Exceptional attention to detail and accuracy.
- Ability to thrive in a fast-paced, demanding environment handling complex workloads.
- Strong organizational skills and capacity to prioritize among competing demands.
- Consistently deliver timely and high-quality service and documentation.
- Passion for continuous improvement alongside strong analytical skills for impact assessments.
- Experience with operational process improvements and technology implementations.
- Familiarity with vendor management systems such as Flextrack or Beeline is a plus.
- Advanced skills in Microsoft Office, particularly Excel; experience with ServiceNow is beneficial.
- Post-secondary education in a relevant discipline from college or university.
