Role overview
Cohen & Steers is hiring an Associate, Executive Assistant for its Global Distribution department in New York. This role supports senior leaders and wider distribution teams, offering exposure to a broad mix of business activities. The ideal candidate will bring a proactive mindset, sound judgment, discretion, flexibility, and strong time management, while helping anticipate the needs of the teams they support. Key responsibilities
- Serve as the main contact and coordinator for several global distribution teams.
- Represent the team with a professional, upbeat, energetic, and entrepreneurial presence for both internal and external stakeholders.
- Manage a wide range of administrative tasks on behalf of the distribution groups.
- Handle detailed calendar coordination, including scheduling meetings and appointments, arranging rooms and materials, and confirming attendee lists for EVP/SVPs and their teams.
- Organize all travel logistics through the corporate travel service, including maintaining travel profiles and booking flights, hotels, rental cars, and sedan service.
- Process invoices and team travel & expense reimbursements promptly.
- Follow internal policies and ensure all submissions are handled within the required guidelines.
- Act as a knowledgeable resource on company procedures and policy requirements.
- Work closely with other Executive Assistants across the firm to support cross-functional needs.
- Coordinate with the Office of the CEO, CIO, and COO, along with members of the Executive Committee.
- Take ownership of ad hoc assignments, including planning and coordinating team conferences.
- Provide backup support to assistants in other investment departments when needed, such as during vacations.
- Make informed decisions independently when appropriate.
Experience and qualifications
- 10 or more years of professional experience in financial services or a similar industry.
- Background supporting senior distribution and/or marketing leaders, with responsibility for coordination, logistics, and multiple priorities.
- Bachelor’s degree is preferred.
- Strong collaboration skills and a consistently positive, solution-oriented attitude.
- Advanced proficiency in MS Office.
- Experience with Workday reporting, Salesforce CRM, and using AI tools to improve efficiency is an advantage.
- Excellent attention to detail, organization, logical reasoning, and critical thinking.
- Strong verbal and written communication skills, with a polished and professional style.
- Ability to work occasional non-standard hours when travel or coordination demands it.
- Comfort working with highly sensitive, confidential, and unusual information while maintaining integrity.
- Strong ability to adapt quickly and shift priorities without losing momentum.
- Capacity to build consensus and work effectively within a team and across the organization.
- Cross-cultural awareness and sensitivity for working in a global environment.

- Willingness to follow the company’s hybrid work arrangement, which currently requires four days per week in the New York City office and permits one remote day.

Compensation and employment details
The estimated annual salary for this role is $100,000 to $125,000. The role is classified as non-exempt. This position is full-time and follows a hybrid work model.
