Role Overview
The Assistant Project Manager is instrumental in supporting pre-construction and project management activities across various ongoing projects. This role coordinates efforts between office and field teams to ensure smooth communication, accurate documentation, and successful project delivery within schedule and budget.
Key Responsibilities
- Assist with pre-bid tasks such as reviewing documents, coordinating project scopes, and preparing bids.
- Manage acquisition and organization of plans, specifications, and bidding papers.
- Support estimating by collecting quantities, vendor quotes, and subcontractor details.
- Help with bid submissions ensuring completeness and accuracy.
- Set up and maintain project documentation systems, ensuring proper file management and contract administration.
- Assist with reviewing and tracking contractual terms, deliverables, and timelines.
- Facilitate onboarding of projects into internal systems and maintain accurate job setups.
- Collaborate closely with Project Managers and Operations teams in planning, scheduling, progress tracking, risk identification, and budget monitoring.
- Review financial documents including invoices, change orders, and cost estimates for consistency with project scope.
- Manage submittals, permits, and project documentation tracking.
- Serve as liaison between field crews, clients, subcontractors, and internal groups to communicate updates and resolve issues.
- Coordinate logistics for materials and equipment, supporting field teams effectively.
- Participate in site walks, meetings, and coordination calls as required.
- Assist with compiling project status reports, cost monitoring, and performance analysis.
- Contribute to office operations and administrative duties linked to project delivery.
- Ensure daily reports, time records, and project documents maintain precision and timeliness.
- Identify and suggest improvements to project processes and organizational methods.
- Handle multiple projects and priorities in a dynamic work environment and fulfill other assigned tasks.
Qualifications
- Preferred Bachelor’s degree in Construction Management, Engineering, or a related discipline.
- One to three years’ experience in construction, utilities, or infrastructure sectors preferred.
- Familiarity with underground utilities, pipeline, or industrial projects is advantageous.
- Strong communication skills enabling effective collaboration between office and field personnel.
- Exceptional organizational abilities with keen attention to detail and dedication to following through on tasks.
- Capability to juggle multiple projects and adjust to shifting priorities adeptly.
- Proficiency with Microsoft Office suite (Excel, Word, PowerPoint); familiarity with project management or ERP systems is considered a plus.
- Basic knowledge of project scheduling, cost management, and construction workflows.
- Problem-solving aptitude with proactive anticipation of needs and initiative-taking.
- Commitment to safety and understanding of job site and field operations.
