Role Overview
We are looking for a seasoned Administrative Assistant to support 2 to 3 Market Managers within the New York Buying Office. This is a 6-month contract role, primarily based onsite in New York, NY 10018, with a hybrid schedule—generally requiring onsite presence two days a week (Tuesday and Wednesday), plus additional days as necessary. The position involves managing complex calendars, coordinating travel, organizing meetings, and handling various administrative tasks to ensure smooth daily operations and executive priorities.
Key Responsibilities
- Efficiently manage complex calendars, coordinate meetings, and arrange domestic travel with detailed itineraries for Market Managers.
- Handle visitor schedules, organize team events, manage logistics, prepare materials, and provide onsite support.
- Prepare reports, presentations, correspondence, and a variety of business documents.
- Maintain organized filing systems, trackers, and administrative processes while assisting with office operational needs.
- Act as a primary contact point, managing confidential requests with utmost professionalism and discretion.
- Contribute to special projects, administrative process improvements, and assist cross-functional initiatives.
Required Qualifications
- Proven experience supporting executives or administration in dynamic, fast-paced settings.
- Exceptional skills in calendar management, scheduling, and travel coordination.
- Proficiency in Microsoft Office suite and expense management platforms.
