About Wildlife Conservation Network
Wildlife Conservation Network (WCN) is a fast-expanding organization working to protect wildlife through a collaborative, entrepreneurial, innovative, and donor-supported model. Its mission is to help safeguard endangered species by backing conservationists who enable people and wildlife to live and flourish together. WCN equips conservation leaders with access to donors, resources, and practical tools so they can drive impact.
WCN works through three core conservation approaches: supporting entrepreneurial partner organizations through its Network; offering flexible funding through its Wildlife Funds to protect threatened species and their habitats; and helping emerging local conservationists build leadership and organizational strength through training, networking, and capacity building.
About the Role
WCN is seeking a highly organized and committed professional to provide administrative, contractual, project coordination, and grants support across all stages of the grant lifecycle for one or more Wildlife Funds in its portfolio.
Grant Administration and Financial Support
- Oversee the full grant administration and contracting cycle efficiently and accurately, including preparing agreements, compliance documents, amendments, and payment-related paperwork.
- Maintain Wildlife Fund databases so that current, upcoming, and archived information on grants and payments remains accurate and useful for financial and project planning.
- Act as a primary coordination point between one or more Wildlife Funds and the WCN Finance Department to keep workflows compliant and efficient.
- Provide current data and reporting inputs to WCN leadership and Directors to support planning and decision-making.
- Ensure that WCN’s due diligence and compliance requirements are consistently upheld.
Program Coordination and Support
- Deliver centralized administrative and project management support for one or more Wildlife Funds, including communication with grantees across multiple channels.
- Help Wildlife Fund leadership collect and organize information for program metrics.
- Support Granting Committee and Leadership Team meetings by handling scheduling, coordination, and minute-taking.
- Manage reporting workflows by tracking interim reports, processing grantee submissions for administrative records, checking compliance with reporting rules, recording and coding impact data in fund databases, and escalating overdue or non-compliant reports to the Associate Director.
- Act as a strategic sounding board for Wildlife Fund leadership, including support for new initiatives.
- Provide additional operational help as needed, such as organizing internal fund meetings, granting committee sessions, donor events, logistics, travel, venue arrangements, note-taking, and site visits to grantees.
Communications and Donor Engagement
- Support donor engagement activities led by the Lead Fundraiser by preparing materials, coordinating meetings, and arranging events.
- Draft strong proposals and reports for donors and key partners.
- Work closely with the Communications Team by maintaining photo archives for supported Wildlife Funds, contributing content and updates for Wildlife Fund websites, sourcing material from grantee reports for collateral, and assisting with marketing campaigns.
- Support fundraising across Conservation Partners, Wildlife Funds, Network organizations, and other WCN initiatives through direct supporter interaction, institutional fundraising assistance, and the sharing of stories, information, and reports that encourage continued donor support.
Experience, Skills, and Other Requirements
- Preference will be given to citizens or permanent residents of countries in Africa.
- A bachelor’s degree or higher is required, along with at least 5 years of experience in grants management, grant writing, or a related administrative role.
- Applicants should be proficient with computer systems and comfortable using tools such as Salesforce and Google Suite.
- A solid understanding of the conservation sector and the way conservation NGOs operate is preferred, especially with direct grant management experience.
- Excellent written and spoken English is required; French or Swahili is an advantage.
- The role calls for excellent organization, sharp attention to detail, and strong analytical and problem-solving ability.
- Candidates must be able to handle large volumes of complex material, such as financial and scientific reports, and summarize the most relevant points for different audiences.
- Applicants should be self-driven, efficient, and meticulous in their work.
- Strong communication and interpersonal skills across cultures are essential, along with a professional, service-oriented approach.
- The ability to work both independently and collaboratively in a team setting is important.
- The role requires flexibility to adapt to changing priorities and evolving needs.
- International travel, including occasional field travel, must be possible.
- Alignment with WCN’s core values and the highest standards of integrity is expected.
Compensation and Terms
Compensation will be competitive for similar roles and will depend on the selected candidate’s qualifications, experience, and location. Relocation assistance is not provided.
