Position Overview

The Station Maintenance Coordinator role within Etihad Rail Mobility’s Operations and Engineering department serves as the main contact point for all contractors and subcontractors performing work at stations during the handover transition and subsequent Defect Notification Period. Reporting to the Stations Maintenance Manager, this position is responsible for managing the Permit to Work (PTW) process, ensuring initial reviews and enforcing Safe System of Work standards, coordinating between involved stakeholders, assisting in planning and scheduling, monitoring defect and snag rectification, and keeping meticulous records of all station asset and system maintenance activities.

Key Responsibilities

  • Serve as the primary contact for all PTW applications.
  • Evaluate PTW application packages for completeness, including method statements, risk assessments, and related documents.
  • Detect special permit and isolation needs such as Hot Works, Work at Height, Confined Space, and electrical/mechanical isolations.
  • Collaborate with Etihad Rail Infrastructure to manage track possessions for any track-related work.
  • Perform initial PTW review and work closely with the HSE team to secure PTW approval and ensure compliance.
  • Maintain a comprehensive PTW register outlining all active, suspended, and closed permits.
  • Identify and manage interface requirements to prevent conflicts among simultaneous work activities on stations.
  • Establish effective communication channels with contractors and internal teams.
  • Coordinate access arrangements and work schedules with operations teams to avoid conflicts.
  • Assist with planning and scheduling all station works, including outstanding tasks, defect/snag repairs, fit-outs, and services.
  • Track work progress against approved schedules, escalating any deviations promptly.
  • Manage a defect and snag rectification register for stations.
  • Monitor progress on defect/snag rectifications and escalate items that are overdue or of high priority.
  • Collaborate with contractors to ensure timely resolution of outstanding works, defects, and snag issues.
  • Keep detailed records of maintenance activities such as PTW logs, completion certificates, and contractor reports.
  • Generate periodic reports on PTW activities, work progress, and defect/snag statuses.

Qualifications and Experience

  • Diploma or bachelor’s degree in an engineering field, Facilities Management, or related technical discipline.
  • Professional certifications such as IOSH Managing Safely or NEBOSH IGC are advantageous.
  • At least 3 years of relevant experience in maintenance work planning, scheduling, and coordination, preferably within rail, metro, or major infrastructure environments.
  • Proven expertise in managing Permit to Work systems and access coordination in multi-contractor construction or operational transition contexts.
  • Experience handling defect and snag management during construction completion or handover phases is essential.

Skills and Attributes

  • Strong knowledge of Permit to Work systems including special permits for Hot Works, Work at Height, Confined Space, and isolations.
  • Excellent organizational skills with the ability to handle multiple work streams, shifting priorities, and complex access requirements.
