Role Overview

Reporting to the Construction Manager, the Site Administrator will provide comprehensive administrative support on the project site to ensure smooth and efficient project operations.

Key Responsibilities

  • Record daily attendance of all crew members and visitors, distributing counts as necessary.
  • Review, correct, scan, and file inspection sheets and safety documents.
  • Distribute daily Plan of the Day documents and updates.
  • Prepare and circulate look-ahead schedules and updates including onsite personnel, activities, weather, and images.
  • Print daily safety and timesheet forms, ensuring accurate documentation returns with notes, employee counts, LOA, and equipment details.
  • Maintain crew attendance records for weekly safety meetings.
  • Oversee daily quality control for field activities and submit QC forms, photographic evidence, and UTM coordinates adhering to the Inspection and Test Plan (ITP).
  • Update the ITP as QC forms are completed and organized within QC binders.
  • Support the collection and management of Data Books and Operation and Maintenance Manuals.
  • Keep the office trailer orderly and efficient.
  • Track and update equipment, trucks, and test devices on site, maintaining logs such as unit IDs, wash logs, and calibration certificates for all equipment arriving or departing the site.
  • Verify compliance with Alcohol & Drug policies, training certificates, and safety ticket requirements for all crew.
  • Manage office supply inventories, handle incoming correspondence, and coordinate office equipment maintenance.

Additional Information

This is a safety-sensitive role requiring candidates to successfully pass pre-employment drug and alcohol tests as well as criminal and background checks.

Work Schedule

The project demands about 48 hours per week, with Monday to Thursday consisting of 10-hour shifts and Friday as an 8-hour day.

  • Completion of a High School Diploma is mandatory.
  • At least 2 years of experience in an administrative capacity.
  • Strong proficiency with Microsoft Office suite.
  • Familiarity operating standard office equipment.
  • Understanding of clerical and administrative systems including filing and organizing office documents and equipment.
