Role Summary
The Senior Executive Assistant offers comprehensive and anticipatory administrative support to the President of Production Services, Franchise Management & Theatrical Distribution, navigating a fast-moving and evolving environment. Collaborating closely with the department's Chief of Staff, this role is instrumental in managing daily priorities to maintain an organized, flexible, and responsive office setting.
Key Responsibilities
- Oversee and optimize the President’s calendar, carefully scheduling and prioritizing meetings, appointments, events, and travel arrangements, in partnership with the Chief-of-Staff.
- Handle incoming phone communications, messages, and maintain priority call lists diligently.
- Compile, prepare, and submit expense reports promptly and accurately.
- Ensure the President is equipped with all necessary documents prior to meetings.
- Coordinate internally and externally with executives, talent, and fellow assistants to maintain smooth communications.
- Lead administrative functions for the President's office, collaborating with departmental assistants and coordinators on management and coverage.
- Implement effective office systems and workflows to sustain organization and seamless operations.
- Demonstrate initiative and independent judgment, anticipating needs and proactively addressing them with minimal supervision.
- Manage timely logistics and preparations for both internal and external events involving the President.
- Work together with the Chief-of-Staff and leadership to organize departmental events such as town halls and offsites.
- Present the President and department professionally, maintaining utmost confidentiality, discretion, and diplomatic conduct.
- Maintain comprehensive filing and organization of vital documents and records.
- Manage all incoming and outgoing mail schedules efficiently.
- Undertake additional projects as assigned.
Qualifications and Experience
- Minimum of five years administrative experience supporting senior executives, preferably within agency, production, or studio environments.
- An optimistic outlook with demonstrated independence, resourcefulness, and problem-solving capabilities.
- Strong attention to detail and professionalism under pressure.
- Ability to juggle complex schedules, prioritize effectively, meet deadlines, and manage multiple tasks concurrently.
- Excellent verbal and written communication skills.
- Proficient computer skills, including SAP, Concur, Workday; familiarity with Microsoft Office and Keynote is advantageous.
- Ability to handle confidential information with integrity.
- Interpersonal skills that foster effective teamwork and collaboration.
- Sound instincts and judgment for navigating multifaceted situations and environments.
- Availability to work overtime during evenings and weekends when necessary and authorized.
- Must be able to work onsite at the Burbank location five days a week.
Education
Bachelor’s degree or equivalent professional experience required.
Compensation and Benefits
The salary range for this position in Burbank, CA is from $95,500 to $128,000 annually based on a standard 40-hour workweek, though weekly hours may vary with business demands. Compensation offered will consider internal equity and may adjust based on location, expertise, and experience. Additional components may include bonuses, long-term incentive units, and a comprehensive benefits package aligned with job level and role.
