Job description
Role Overview
The Receptionist & Secretary will provide essential administrative support to the management team at Essa Al Sulaiti Law Firm. This role includes handling correspondence, coordinating schedules, managing office security, and attending to clients both on-site and via communication channels.
Key Responsibilities
- Serve as the Management's Secretary, recording dictations and instructions.
- Receive documents from various departments and facilitate notation, signatures, and appropriate managerial actions.
- Distribute documents to relevant department personnel for action.
- Coordinate and arrange appointments and meetings, including off-site commitments for the Management.
- Manage all incoming phone calls, visitors, and guests directed at the Management.
- Execute general administrative tasks and office support duties.
- Organize, file, and document official paperwork.
- Respond to telephone enquiries and redirect calls to appropriate parties.
- Greet walk-in clients and provide responses to their questions.
- Create initial files for new clients and manage procedural requirements.
- Manage meeting room scheduling and related resources.
- Maintain calendars and organize meetings for Management members.
- Oversee address registries, telephone switchboards, and extensions.
- Prepare meeting spaces and coordinate catering services as needed.
- Monitor and manage office supplies and stationery inventory.
- Ensure reception area security through adherence to safety protocols and controlling visitor access, including logbook maintenance and badge issuance.
- Host clients and guests in designated waiting areas.
- Maintain cleanliness and orderliness of reception facilities and secure necessary supplies like pens, forms, and brochures.
- Arrange travel and accommodation requirements for official trips.
- Complete additional clerical tasks such as filing and photocopying.
- Contribute to team objectives by fulfilling related responsibilities as required.
- Perform other relevant duties assigned by Management.
Qualifications
- Possession of a high school diploma or equivalent relevant work experience.
- Demonstrated ability to maintain a positive and professional attitude.
- Fluency in both Arabic and English, with strong reading and writing skills in both languages.
