Project Manager

Overview

Reporting to the Director of Project Management, the Project Manager plays a pivotal role in initiating, promoting, managing, and successfully completing assigned insurance claims projects efficiently and profitably. This position involves extensive coordination with insurance professionals, subcontractors, suppliers, and internal teams to ensure timely and accurate communication throughout all project stages.

Key Responsibilities

• Conduct site inspections and scope loss assessments to determine work requirements.
• Prepare detailed computerized reports, photographic documentation, and cost estimates for client and insurer review.
• Maintain up-to-date records and notes in insurance and internal management databases.
• Secure project approvals and payments by completing all necessary paperwork with property owners.
• Maintain consistent verbal and electronic communication with insurance adjusters and relevant stakeholders.
• Coordinate with subcontractors and production teams to advance project progress according to company protocols.
• Respond to emergency service calls, including after-hours, weekends, and holidays, to assess damage, authorize work, and dispatch appropriate personnel and resources.
• Oversee mitigation efforts, confirm completion, and provide documentation and invoicing to insurance partners.
• Manage all project facets including in-house labor, subcontracting, materials, equipment, permits, and client communication, ensuring project delivery up to $300,000 in value while maintaining profitability.
• Schedule and supervise work quality and production timelines with internal teams and subcontractors.
• Control costs, review purchase invoices and time sheets, and prepare comprehensive documentation for client and insurance payment including signed Certificates of Satisfaction and follow-up on receivables.
• Ensure collection of property owner signatures on insurance co-payable cheques.
• Uphold company quality standards by actively maintaining job files using Integricon’s project management software.
• Ensure workplace safety by adhering strictly to relevant federal, provincial, and local health and safety laws and company policies.
• Contribute to team cooperation, attend industry training and functions, maintain IICRC certifications, and foster strong relationships with adjusters and industry contacts to support business development.

Qualifications and Skills

• Post-secondary education relevant to the field.
• Minimum of two to five years of experience in restoration project management.
• Current good standing with IICRC and completed Water course certification.
• Proficiency with Xactimate; experience with Encircle software is advantageous.
• Comprehensive knowledge of health and safety regulations applicable to emergency and restoration construction work.
• Strong technical background in construction with an ability to manage multiple projects simultaneously.
• Professional communication skills and ability to maintain business correspondence effectively.
• Valid driver’s license with a clean driving record and ability to travel as needed.
• Advanced computer literacy, including word processing and spreadsheet applications.
• Positive, cooperative attitude with a commitment to quality and teamwork.
