About the Role
The Laboratory Animal Resources (LAR) department within the Office of Research at Florida State University is seeking an Office Administrator to oversee front office operations. This position is the central contact point for visitors, researchers, and staff, and ensures a courteous and service-driven environment aligned with LAR's mission.
Key Responsibilities
- Manage day-to-day front office activities and address routine questions by applying departmental and university policies.
- Provide direct administrative assistance to the LAR Director, including handling correspondence, compiling data, preparing reports, and managing calendars; extend similar support to other administrative and professional staff as needed.
- Organize unit-wide events, such as team-building exercises, professional development sessions, and the triannual AAALAC accreditation site visits.
- Oversee departmental receiving and delivery logistics and coordinate service requests with IT, Facilities, and Custodial teams.
- Supervise a student Office Assistant when assigned.
- Handle procurement processes for non-animal purchases via SpearMart and OMNI systems; manage department purchasing cards including T-card and P-card proxies.
- Coordinate departmental travel arrangements.
- Support human resources functions by managing job postings, scheduling candidate interviews, liaising with HR representatives, and assisting new employee onboarding.
- Act as the Time and Leave Representative, ensuring accurate time reporting and managing leave calendars and workflows.
- Administer the animal census and reconciliation system, process animal orders, prepare cage cards, and maintain critical databases for regulatory compliance and accreditation.
- Serve as the Security Representative for all LAR vivaria, managing access, verifying training compliance, and enforcing security standards.
- Provide administrative and technical support for the Animal Care and Use Committee (ACUC) activities.
- Maintain and update LAR and ACUC web pages and listservs, and develop materials for event and training registrations.
Qualifications
A high school diploma or its equivalent combined with four years of relevant experience or an equivalent mix of post-secondary education and experience is required. Previous administrative experience is preferred.
