PPFA serves as a 501(c)(3) nonprofit supporting independent Planned Parenthood affiliates across the U.S. The advocacy arm, Planned Parenthood Action Fund, handles grassroots organizing, legislative advocacy, and voter education activities aligned with PPFA's mission.
Role Overview
The Manager of Events and Conferences plays a key role within the National Office, reporting to the Senior Director of the Events & Conferences Department. This position involves event production and project management for national conferences, events, and meetings. The manager will work closely with diverse internal teams and external partners, handling timelines, budgets, vendor relations, on-site event operations, and cross-divisional coordination.
This hybrid role requires being present at the NYC or DC offices 2-3 days per week. The position calls for excellent discretion, strong problem-solving abilities, and exceptional relationship-building skills.
Key Responsibilities
- Manage logistics for meetings and conferences including hotel and venue relationships, vendor selection and management, site visits, and budget oversight.
- Create and maintain project timelines and plans to ensure efficient event execution.
- Direct on-site event operations, communicate logistics, manage registrations, and navigate internal security, legal, and IT protocols.
- Evaluate and recommend innovative event technologies and accessibility solutions.
- Collaborate with staff, volunteers, and affiliates to develop staffing plans that align with organizational objectives.
- Communicate and coordinate with internal teams and 3rd party vendors to guarantee timely delivery of event components.
- Contribute to cross-functional event planning and execution for national-scale virtual, physical, or hybrid events.
- Perform any additional related responsibilities as assigned.
Required Skills and Qualifications
- Bachelor’s degree in event management or similar field preferred.
- Minimum of 3 to 5 years’ experience in conference and event logistics and operations.
- Strong analytical and problem-solving skills with the ability to work independently and collaboratively.
- Ability to prioritize multiple short and long-term projects in a fast-paced environment.
- Exceptional organizational, multitasking, and communication abilities.
- Certified Meeting Professional (CMP) credential preferred but not mandatory.
- Attention to detail and a dedicated customer service orientation.
- Capacity to handle sensitive information discreetly and confidentially.
- Familiarity with event planning platforms such as Bizzabo, Eventbrite, and Cvent.
- Proficient in Canva and Google Workspace applications.
- Adaptability to work beyond regular hours as needed with responsiveness via text or email.
- Commitment to Planned Parenthood’s mission including diversity, equity, and inclusion initiatives.
Additional Details
- Annual salary range: $87,000 to $90,000.
- Approximately 35-40% domestic travel required.
