Role Overview

We are in search of a diligent and forward-thinking Logistics Coordinator to be based in Hallam, Melbourne. This role involves overseeing domestic and primarily international shipments, making sure products reach customers correctly and punctually. Collaboration with freight forwarders, overseas branches, customers, and internal teams such as Supply Chain, Projects, Production, and Customer Service is crucial to managing shipments from dispatch through to delivery. Additionally, the role includes opportunities for cross-training within Customer Service and Administration to expand understanding of order management and business operations.

Key Duties

• Organize domestic and international freight bookings using air, sea, and road transport methods.
• Prepare dispatch paperwork, shipment files, and picking lists with precision.
• Generate and oversee export documentation including Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin, and other necessary papers.
• Engage actively with freight forwarders, carriers, customs agents, and overseas offices to ensure seamless shipment processing.
• Track shipment progress and communicate updates proactively, handling any delivery challenges effectively.
• Coordinate delivery schedules to align with customer demands and project timelines.
• Maintain thorough logistics records, schedules, and shipment documentation.
• Contribute to continuous improvement efforts and assist with general administrative functions.
• Support the Customer Service team especially during busy periods.

Qualifications and Experience

• At least two years of experience in logistics, freight coordination, export shipping or related roles.
• Proven capability managing international sea and air freight shipments.
• Solid understanding of shipping and export documentation procedures.
• Familiarity working with freight forwarders, customs operations, and global logistics providers.
• Competence with ERP systems; experience with Microsoft Dynamics 365 is a plus.
• Excellent organisational, communication, and time management skills.
• Detail-oriented with strong problem-solving skills.
• Background in manufacturing, engineering, food, packaging, or industrial sectors is preferred.
