Overview
The Human Resources Operations Specialist is responsible for overseeing daily HR functions to guarantee seamless and effective employee services within the organization. This role demands meticulous maintenance of employee data, documents, and compliance with labor laws while coordinating with internal departments and government agencies.
Key Responsibilities
- Administer day-to-day HR activities ensuring efficient employee service delivery across all levels.
- Keep detailed and accurate personnel records, including contracts and essential HR documentation.
- Draft and manage employment-related documents such as contracts, job offers, amendments, and various employee correspondence.
- Coordinate onboarding and offboarding processes, ensuring all necessary paperwork and protocols are completed.
- Manage employee status changes including transfers, promotions, salary updates, leaves, attendance, and terminations.
- Track attendance, working hours, absences, and leave entitlements, collaborating with payroll for relevant deductions or modifications.
- Assist with monthly payroll activities by validating employee data, attendance, allowances, and deductions.
- Administer employee registrations and updates on governmental platforms like Qiwa, GOSI, Muqeem, and Mudad.
- Handle processes related to residency permits, work permits, sponsorship transfers, exit and re-entry visas, and related government procedures.
- Monitor and ensure timely renewal of contracts, permits, medical insurance, and official documents.
- Address employee queries regarding HR policies, contract matters, payroll, benefits, leaves, and governmental processes.
- Prepare formal HR communications such as letters, salary certificates, experience certificates, warnings, and other official documentation.
- Ensure full compliance with company regulations, Saudi Labor Law, and governmental guidelines.
- Maintain strict confidentiality and professional handling of sensitive HR information.
- Generate and submit HR reports including headcount, turnover, attendance, leave, contract statuses, and employee movements.
- Liaise with finance, payroll, recruitment, and other stakeholders to guarantee accurate and prompt completion of HR duties.
- Support internal and external audits by preparing required employee records and documentation.
- Continuously seek opportunities to enhance HR processes, services, and overall operational effectiveness.
- Execute additional HR tasks as assigned by the HR Manager.
Qualifications and Skills
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- Between 1 and 3 years of relevant experience in HR operations or personnel management.
- Good understanding of Saudi Labor Law and HR operational procedures.
- Familiarity with government platforms such as Qiwa, GOSI, Muqeem, and Mudad is preferred.
- In-depth knowledge of employee lifecycle management including onboarding, contracts, payroll, leave, and terminations.
- Strong organizational and time management capabilities.
- Keen attention to detail with the ability to accurately manage employee records.
- Capacity to juggle multiple responsibilities and meet deadlines in a dynamic environment.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Experience using HR management systems is a plus.
- Fluent in Arabic and English.
- Ability to maintain confidentiality, professionalism, and ethical standards.
- Effective working skills both independently and within a team setting.
